The Cape and the Islands only Forbes Five Star Hotel is seeking an Assistant Reservations Manager.

Responsibilities include:

  • Assist Reservations Manager with all of the Reservations Management responsibilities listed below and lead the department in the absence of the Reservations Manager
  • Generate and track weekly rooms forecast, to assist all departments with staffing and cost control. Assist in producing the 90, 60 and 30 day rooms forecasts.
  • Create, recommend and implement marketing strategies based on current market conditions. Recommend special packages to increase room revenue.
  • Maintain records, analyze, and report weekly on "source of business" for future marketing strategies.
  • Maintain accurate guest history for future marketing promotions.
  • Monitor group activity with regards to group pick up, room assignments, billing instructions and special requests. Report weekly on individual groups: their pick up and status.
  • Maintain professional and effective communication with sales and group contacts regarding room blocks, rooming lists, VIP's, and other special requests.
  • Provide and support reservations sales agents with an ongoing sales training program.
  • Act as a role model by setting a positive and professional tone by following all policies and procedures.
  • Maintain a positive public image while representing yourself and Wequassett Resort & Golf Club.
  • Hold weekly reservations meetings to review general information as well as rate and occupancy issues.
  • Continually update reservations sales agents with current information regarding the resort as well as occupancy and rate strategies.
  • Perform job performance reviews with the reservations staff as assigned by the Reservations Manager.
  • Approve weekly payroll records of the reservation department staff for the accounting department.
  • Enthusiastically promote the reservations incentive program. Set goals and maintain accurate records of the program, display achievements and approve distribution through the accounting department.
  • Ensure the accuracy of availability and rates through daily updates.
  • Attend weekly revenue management meetings prepared to discuss yield issues as well as reporting on source of business, closure %, social and group pick up, group cutoffs, booking strategies and other related issues.
  • Attend all pre-conference meetings being prepared to discuss special requests, rooming lists, billing arrangements, and other related information.
  • Communicate and interact professionally and effectively with all departments toward the goal of providing all guests with the quality and customer intimate service that Wequassett Resort is known for.
  • Work in liaison with the Sales department toward the goal of maximizing occupancy, rates and revenue.
  • Attend the weekly staff meeting being prepared to review occupancy forecasts, reservation activity and other related issues.
  • Energetically promote the Customer Intimacy Program by being a role model and encouraging the reservation staff and others to look for opportunities to impress our guests with Heroic Acts.
  • Ensure the accuracy of all reservation information and that all guest's requests are communicated to the proper departments.
  • Attend the daily meeting as requested, and ensure that all VIP's, special guests and special requests are noted and followed up on through utilizing the resort's property management system.
  • Maintain and follow up regularly on reservation communication centers including bulletin boards, daily communication logs, e-mail, and other forms of communication.
  • Ensure that the reservations office is organized, clean and stocked with necessary supplies. Provide the Front Office Manager with a completed office supply requisition form as needed.
  • Inspire the reservations staff to provide anticipatory personal service, attention to detail, quality communication and follow through toward the goal of maintaining a high Guest Satisfaction Index.
  • Work in liaison with the front desk toward the goal of maximizing occupancy, room revenue as well as guest satisfaction.
  • Work closely with the accounting department to ensure the accuracy and security of all reservation deposits, gift certificates, rate building, as well as guest billing arrangements.
  • Be knowledgeable of all facets of the property management system in regards to the reservations department and ensure all computer input is accurate and in accordance with the Resort's standards.
  • Other related duties as assigned.

Previous supervisory or management experience in reservations in a luxury hotel is preferred.
